Creating a New Task

Fields in blue are required.

  1. There are multiple ways to start the process of creating a new Task. Use any of the methods available below.

    1. From the top menu, select New, Activities, Task or

    2. From the Home or Client Management tabs, click the Task Manager page. From the toolbar above the grid, click New Task.

  2. In the Task Name field, enter a name for the task.

  3. The Created by field is pre-populated with the current user's name.

  4. The Owner field is also pre-populated with the current user's name. To specify a different owner, click the drop-down and select the member of your firm to whom you want to assign the task.

  5. By default, all users are granted access to new tasks. To change this, click the Access List drop-down and un-check the boxes next to the users you wish to exclude.

Note: You can create a custom default access list for new tasks by changing your settings. From the main Task Manager window, click the Task Settings button.

  1. To associate the task with a client, prospect, account, or security, click the Related to drop-down and check the boxes for all that apply.

  2. Click the Priority drop-down and select Low, Medium, High, or Immediate.

  3. Click the Status drop-down and select Not Started, Waiting for Feedback, Deferred, In Progress, Completed or Skipped.

  4. To assign a color to the task that can be used later to filter, click the Category drop-down and select a category. Double-click the category label to edit a category name. Note: There are 25 category colors available. You cannot create your own custom color.

  5. The completion of a task can be recorded in the % Complete and Total Time Spent fields.

  6. In the Schedule area, use the calendar icon to select a Start Date, and Due Date. These fields default to the date the task was created.

  7. Use the drop-down to select the Start Time and Due Time within half hour increments.

  8. No Reminder is selected by default. To set a reminder, click the Reminder drop-down and select a time frame.

Note: You must specify a Due Date to access the Reminder drop-down.

  1. To have this task repeated at regular intervals, click the Recurrence drop-down and select Daily, Weekly, Calendar Month, Calendar Quarter, Calendar Six Months, or Calendar Year.  The No end date radio button is selected by default. This allows the task to be repeated indefinitely. If you prefer to have the task regenerated for a given period of time, click the End after: radio button and enter the number of occurrences after which the task should expire, or click the End by: radio button and click the calendar icon to select an end date.

Note: You must specify a Start Date to access the Recurrence drop-down.

  1. The Date Created is pre-populated with the date the task was created.

  2. The Date Completed field populates when the status is set to Completed.

  3. Enter notes about the task in the Comments area.

  4. In the Attachments area, click Attach and browse for the file you wish to attach.

  5. When you are finished, click Save and then Close.
